POLICY: USE OF THE NSGNOW AI PLATFORM

Purpose: This policy outlines the requirements, responsibilities, and conditions for all employees using the NSGNow AI Platform, an internal artificial-intelligence tool designed to support productivity, knowledge access, and operational efficiency across the NSG Boffa Group of Companies.

Scope: This policy applies to all employees, labour-hire workers, contractors, and authorised users who access or interact with the NSGNow AI Platform within any entity of the NSG Boffa Group of Companies.

Ownership, Licensing & Intellectual Property: NSGNow is a proprietary platform licensed exclusively to the NSG Boffa Group of Companies. All outputs, prompts, content, files, and information generated, uploaded, or processed through the platform are the intellectual property of the NSG Boffa Group of Companies. Users must not export, disclose, or distribute NSGNow content externally unless approved by their Manager.

Confidentiality & Data Security: All information entered into NSGNow is considered confidential company and operational information. Users must only input information relevant to business operations within the NSG Boffa Group of Companies. Sensitive commercial, contractual, personnel, or safety-related data may be entered into the system; therefore, strict confidentiality obligations apply. Users must not upload external third-party confidential documents unless authorised and legally entitled to do so.

Monitoring & Audit Rights: The NSG Boffa Group of Companies may collect, log, and audit all NSGNow usage, including:

• User prompts and queries
• Generated outputs
• Access times and frequency
• System behaviour and interaction patterns

Users acknowledge that no activity within NSGNow is private. Monitoring is conducted for quality assurance, compliance, training, system optimisation, and security purposes.

Accuracy, Limitations & Verification Requirements: NSGNow uses advanced generative-AI technology and may produce incomplete, inaccurate, outdated, or incorrect information. The platform may also misunderstand context or generate plausible-sounding but incorrect statements (“hallucinations”). It is the responsibility of every user to verify the accuracy and appropriateness of AI-generated information before acting on it, issuing it, or incorporating it into business documents. NSGNow must not be treated as an authoritative source for legal, financial, technical, or safety-critical decisions without human verification.

System Training, Development & Algorithm Adjustments: The NSG Boffa Group of Companies may update, refine, or retrain the NSGNow algorithm at any time to improve performance, accuracy, and user experience. This may include–

• Adjustments to system logic
• Uploading additional training material
• Modifying prompt routing or workflows
• Improving business-specific reasoning
• User interactions may be used to enhance the platform.

Acceptable Use Requirements: Users must:

• Only use NSGNow only for legitimate business activities within the NSG Boffa Group of Companies
• Maintain professionalism in all prompts and content
• Avoid entering personal, offensive, discriminatory, or inappropriate material
• Avoid using NSGNow for non-work-related activities
• Follow all workplace policies (e.g., Code of Conduct, Privacy, ICT Usage, Confidentiality, Cybersecurity Policies) that may impact use of the platform

Prohibited Use: The following behaviours are strictly prohibited:

• Entering false, misleading, or deliberately incorrect information
• Attempting to reverse-engineer, modify, or extract the NSGNow model
• Using NSGNow outputs as final legal, WHS, financial, or technical advice without approval
• Sharing or exporting NSGNow outputs to external parties without permission
• Entering personal health information, medical data, or private personal information of others unless required for legitimate business purposes and handled in accordance with privacy laws

User Responsibility: Users are responsible for:

• Ensuring information submitted is accurate and appropriate
• Verifying all outputs before using or circulating them
• Immediately reporting any incorrect or inappropriate output to their Manager
• Complying with all confidentiality, privacy, and intellectual property obligations
• Ensuring their usage aligns with NSG Boffa Group expectations and professional standards

Breaches & Consequences: Failure to comply with this policy may result in disciplinary action, including:

• Loss of system access
• Formal performance management
• Disciplinary action up to and including termination
• Legal action in cases involving confidentiality breaches, data misuse, or unauthorised disclosure

Policy Review: This policy will be reviewed annually or as required to ensure alignment with ICT, cybersecurity, and compliance frameworks across the NSG Boffa Group of Companies.
